How to integrate AI with your ERP without replacing it
Learn what to assess when integrating AI with your ERP: access, business rules, confirmed records and exception handling in existing systems.
You can integrate AI with an existing ERP when reliable interfaces exist to read data and perform the required actions. Feasibility depends on the software version, available interfaces, permissions and process rules. Having a connector alone does not establish that an entire workflow can be automated.
Start with a handoff that currently requires manual work: a sale becoming an order, a request needing verification or information moving to another team. That is where the integration needs to demonstrate value.
Start with the handoff between teams
Imagine a manufacturer whose sales team closes a deal in the CRM and sends information to someone who creates the ERP order. The work may involve checking the customer, interpreting a note, verifying terms and correcting a product code.
Describe where the order waits and why. Waiting for re-entry differs from waiting for credit approval. Integration may reduce the former; the latter requires preserving a business decision.
- Sales to order management: customer, items and approved terms; completion means the destination system accepts the order.
- Customer service to logistics: delivery identification and incident; completion means the incident is recorded and assigned.
- Customer service to the workshop: vehicle, service and availability; completion means an appointment confirmed in the correct schedule.
These are illustrative examples, not claims that all these integrations have already been delivered.
Separate reading from changing records
Reading a status and creating an order require different permissions. An agent answering delivery questions does not need authority to change prices, cancel sales or edit customer records.
Define what it can read, prepare and execute. For every change, identify the approver and the system that holds the official record.

Verify the actual integration path
Ask the technical team or software vendor to demonstrate the required operation on the version your company uses. An API may support reading orders without creating them under the required conditions.
- Available operations: can the interface read and write the necessary fields?
- Access: can a dedicated credential be limited to the workflow?
- Capacity: what request limits, maintenance windows or queues apply?
- Confirmation: how do you know whether the destination accepted, rejected or is still processing a request?
If file import is the only option, compare its frequency with the operational deadline. Batch updates may suit reconciliation while being unsuitable for promising immediate availability to a customer.
If the approach operates through the visual interface, assess screen changes, authentication and failure recovery. Include maintenance in the decision, beyond a working demonstration.
Preserve commercial rules in the workflow
AI can interpret requests expressed in different ways. Checking a mandatory code or discount limit should follow an approved business rule.

At a carrier, a message can help identify the customer's request. Authority to change freight terms remains tied to commercial rules and approved decision rights.
Handle missing confirmation without duplicating work
An order is sent to the ERP, but the connection drops before a response arrives. The order may already exist.
An automatic retry could create a duplicate. AWS explains how idempotent operations allow a request to be repeated without additional effects, using a request identifier. This mechanism must exist or be designed into the integration; telling an agent to avoid duplicates is insufficient. Source: AWS Builders’ Library.
Ask for a demonstration showing how the team locates the original record, distinguishes a new request from a repeated attempt and determines the next action. Missing confirmation should remain visible as pending until resolved.
Give exceptions an owner
An integrated workflow should report when it cannot proceed and who takes over. The person needs enough context to resolve the case.
- Unknown product code: the master data owner checks the item.
- Terms outside approval limits: an authorized commercial approver reviews them.
- Conflicting information: the data owner establishes the valid reference.
- Unavailable destination: the team monitors the queue and recovery.
Avoid a queue of generic errors. Each record should identify the request, the known reason it stopped and the expected action.
What the Profil case illustrates
For Profil, Magical built a custom commercial application connecting CRM, quotes and orders, including offline use and subsequent synchronization.
The case reports that the interval from a signed order to its entry into production fell from up to 72 hours to minutes. This measures the handoff, not manufacturing time. It does not establish compatibility with every ERP or promise the same timeline elsewhere.
The example shows why the full handoff matters: information captured during a visit, commercial rules incorporated and the order routed onward.
What to bring to a supplier conversation
Bring an ordinary request, one requiring approval and one that failed. Remove unnecessary sensitive information. Identify system names and versions, the technical owner and someone familiar with daily work.
Ask for an assessment explaining the information path, permitted actions, completion checks and exception ownership. This supports a pilot with verifiable scope and a subsequent expansion decision.
