Re-keying across systems
The same information is typed into the CRM, a spreadsheet and the ERP, and the delay or error shows up in the next step.

Less rework and lower delivery costs.
We reduce manual work across systems and teams to shorten turnaround times and free up capacity. We connect information, automate checks and documents, and route exceptions to the people who decide.
At Engape Engenharia, inspection checklists recorded in the field now generate the technical reports, with more than 90% less time in the 240-unit project. See the report automation.
The same information is typed into the CRM, a spreadsheet and the ERP, and the delay or error shows up in the next step.
Documents and records must be checked against rules or official databases before moving on, and those checks depend on analysts.
Reports and documents are produced manually from data that has already been collected in the field or in another system.
When the process does not fit the existing systems, see custom AI solutions.
Steps, owners, rules and exceptions of the selected process, mapped before anything is automated.
Connection between the systems involved, with automated validations in the steps defined in scope.
Documents and reports generated from workflow data, with cases outside the rules gathered for human review.
In a project delivered by Magical, the interval from a signed order to its handoff to production went from up to 72 hours to minutes.
CRM records, quotes and orders became part of the same workflow, with an app that lets representatives record a sale even without an internet connection. The metric refers to the order handoff, not manufacturing time.
At Openeem, the CRM and ERP integration now validates compliance, issues agronomic prescriptions and sends them to each state's regulator, with fewer manual steps.
Annual exposure to noncompliance fines exceeding R$100,000 was reduced, and 2 analysts were freed for other work during the seasonal peak.
At Engape, inspection checklists completed on mobile in the field now generate the technical reports, without re-keying each property's information.
More than 90% less time generating reports in the 240-unit inspection project, compared with the previous manual process.
In another project, VExpenses began validating expense invoices against each state’s SEFAZ records, with automated verification of 150,000 tax invoices per month. Applications across different industries
The automation connects the systems the company already uses, with each one's compatibility verified before it enters the scope. Part of the workflow follows explicit rules and AI enters where it brings a gain; approvals, commercial terms and exceptions stay with the approval levels defined by the company.
| Published project | Systems and data | Workflow |
|---|---|---|
| Profil | Field app, CRM, quotes and orders | From the sales representative's visit to the order's handoff to production |
| Openeem | CRM and ERP | Compliance validation, issuing agronomic prescriptions and sending them to each state's regulator |
| Engape Engenharia | Inspection checklists completed on mobile in the field | Generating technical inspection reports |
| VExpenses | Checks against each state's tax authority (SEFAZ) | Validating invoices for corporate expenses |
Access, data formats and the owner of each system are defined in each project. There is no universal integration with any ERP.
Which validations are automatic, which values or conditions require approval and who approves each type of exception.
Cases that fail the rules stay visible for human review, with the reason shown, instead of moving forward.
User profiles, permissions in each system and a record of who executed or approved each step. Sources, vendors, hosting and retention are defined in the scope before any sensitive data is shared. Data is used only for the contracted project, never to train models for other companies; access is limited to what the project needs and personal data is handled in accordance with the LGPD.
Data, decisions, evaluation and continuity are also covered on the AI implementation page.
We start with a conversation about repeated activities that consume time or cause errors. We assess rules, systems and business impact to define an initial project and how to measure its results.
Not necessarily. Automation can connect the systems the company already uses, as in the Profil and Openeem projects. When integration is not feasible or the process does not fit those systems, the scope may consider another solution. The decision depends on access, data and the selected workflow.
In the steps where fixed rules are not enough, for example when cases need to be classified, text needs to be interpreted or information needs to be summarized for decision-makers. Predictable steps follow explicit rules. Each workflow's design sets that split, and not every project needs AI in every step.
The project defines an exception queue: those cases are recorded with the reason and only move forward after review by a person with the defined approval authority. Exception criteria and owners are set in scope before the workflow goes into use.
